Privacy policy
Last updated: 21 October 2026
This policy explains what information the ANOAthlete app (“the app”) uses, why, and the choices you have. We have tried to keep it plain and short.
Who we are
The app is provided by ANOAthlete (“we”, “us”), who is responsible for your personal information (the “data controller”). You can contact us at support@anoathlete.com.
The short version
- Your workouts, logs, notes, goals and personal bests are stored on your phone only, not on our servers.
- If you create an account, we store your email address and, if you use the AI programme feature, the programmes you upload.
- If you choose to extract a schedule with AI, the document you picked is sent to OpenAI to read it. We ask you first.
- We do not sell your data, show ads, or use advertising or analytics trackers.
- You can delete your account and its data at any time inside the app.
What information we use
Stored on your phone only
Workouts you record, exercise results (reps, weight, distance, time), notes, completion marks, goals, pinned personal bests, reminder preferences and a cache of exercise names. This stays on your device. If you delete the app or change phone, it is not recoverable from us. Guest mode keeps everything on your device and does not create an account.
If you create an account
- Email address and password. Your password is stored in a protected (hashed) form and is never visible to us.
- Your name, if you add it on the Profile screen.
- Programmes you upload (PDF, Word, image or spreadsheet files), and the weekly schedule extracted from them, which is stored in your private account area. Only you can access it.
Sent to our email provider
When you sign up or reset your password, your email address is passed to our email provider so that it can deliver the one-time code to you.
How AI is used
When you ask the app to read an uploaded programme, and you confirm the on-screen message, the document is sent through our server to OpenAI, which reads it and returns a structured schedule for you to review. We ask OpenAI not to store the result. OpenAI may keep API data for a limited time for safety and abuse monitoring under its own policies. Please do not upload documents that contain information you do not want processed in this way.
When you are signed in, the names of exercises you log (for example “bench press”) may also be sent to OpenAI, without your weights, times or any other detail, so that the same exercise written in different ways can be grouped for your personal bests. The results are cached on your device.
AI can make mistakes. Always check the schedule it creates before relying on it.
Why we use it, and our legal basis
| Purpose | Information | Legal basis |
|---|---|---|
| Create and secure your account | Email, password, name | Contract (providing the app to you) |
| Store and read your programmes | Uploaded files, extracted schedule | Contract; your consent when you choose AI extraction |
| Send sign-up and password-reset codes | Email address | Contract |
| Keep the service secure and prevent abuse | Technical logs from our service providers | Legitimate interests |
| Respond to your support requests | Your message and email address | Legitimate interests |
Who we share it with
We use these service providers (“processors”) to run the app:
- Supabase – account sign-in, database and private file storage (hosted in Ireland).
- OpenAI – reads uploaded programmes and standardises exercise names, as described above.
- Resend – delivers our emails (sign-up and password-reset codes).
- Apple – distributes the app and notifications you allow on your device.
We do not sell your information and we do not share it for advertising. We may disclose information if the law requires it.
Where your information goes
Some providers, including OpenAI, may process information outside the UK, for example in the United States. Where that happens we rely on appropriate safeguards, such as standard contractual clauses or an adequacy arrangement.
How long we keep it
- Account details and uploaded programmes are kept until you delete them or your account.
- When you delete a programme, its uploaded file is removed with it.
- When you delete your account, your account, saved programmes and uploaded files are permanently deleted, and the app clears the data stored on your device.
- Support emails are kept for as long as needed to help you, and then deleted.
- Our providers may keep short-lived security and delivery logs.
Deleting your account
In the app, open Profile → Delete my account. This is permanent and cannot be undone. If you cannot use the app, email us from the address on your account and we will delete it for you.
Your rights
Under UK data protection law you can ask to access your information, correct it, delete it, restrict or object to how we use it, and receive a copy in a portable format. To use any of these rights, email support@anoathlete.com. You can also complain to the Information Commissioner’s Office at ico.org.uk. Where we rely on your consent (such as AI extraction), you can withdraw it by not using that feature.
Permissions the app asks for
- Notifications – only if you switch on workout reminders. Reminders are scheduled on your phone; we do not send push notifications from a server.
- Files and photos – only the file you choose when uploading a programme.
We do not use your location, contacts or microphone, and we do not track you across other apps or websites.
Children
The app is not intended for children under 13, and we do not knowingly collect their information.
Health and fitness information
Training information is personal to you. We do not use it for advertising and the workouts and results you record stay on your device. The app is not a medical product and does not give medical advice.
Security
Sign-in details are stored using your phone’s secure storage, data is sent over encrypted connections, and each user’s uploaded files and programmes are protected so that only that user can access them. No system is perfectly secure, so please choose a strong password.
Changes to this policy
If we change this policy in a way that matters, we will update the date above and, where appropriate, tell you in the app.
